Bookings

Let your bot book a call: it offers your booking page, or books a free time in your Google Calendar.

On this page

When a visitor wants to talk, your bot can book the call. There are two ways, and a bot can have both:

  • Your booking link, on every plan: a Calendly or Cal.com page, or any other booking page. In the web chat it's a card with a button; elsewhere, a link. Calendly and Cal.com pages open with the visitor's name and email filled in.
  • Your Google Calendar, on the Team plan: the bot finds free times in your calendar, the visitor picks one, and it's booked, with the invite sent to them.

Set it up per bot under Inbox โ†’ Bookings โ†’ Booking setup.

Booking in your calendar#

  1. On Booking setup, choose Connect Google Calendar and allow both permissions Google asks for. tufu reads when you're busy and the events it booked, and adds only the events it books. While Google is still reviewing tufu's app, Google first shows a warning that it hasn't verified the app: choose Advanced, then Go to tufu.
  2. Turn on Book times in Google Calendar for the bot, and say what it books: its name, how long it is, free time before and after, the least notice you need, how far ahead visitors can book, your hours for each day, your time zone, and where it happens (a Google Meet link, a phone call, or somewhere you describe).

When a visitor asks to book, the bot asks for their email if it doesn't have it (the invite goes there), then offers up to six free times. In the web chat they're buttons, shown in the visitor's own time zone with yours named under them; in an email or on Discord, a numbered list they answer with a number. Only a time the bot offered can be booked, and it's checked again in your calendar at that moment: if it was just taken, the visitor gets fresh times.

The event is titled with what it books and your team's name ("Intro call ยท Your team"), never with the visitor's words, and the visitor is invited.

Changes and cancellations#

Move or cancel a booking in Google Calendar, as you would any event. The visitor can decline from their invite, or propose another time for you to accept. tufu reads it back when you look, so a cancelled or declined booking shows as cancelled and never counts in your numbers.

Where you see them#

  • Inbox โ†’ Bookings: every booking, with who it's with and its conversation.
  • In a conversation's details, and as a line in its timeline.
  • On Leads, beside the lead who booked.
  • In Reports ("Booked by the bot") and in your daily summary.
  • Your team hears about each new booking the way it hears about new leads, and a webhook can send it on as booking.created.

Limits#

A visitor can book up to three times a day, and an email is needed for every booking. Bookings go with their conversation when it's deleted; the events stay in your calendar.

Disconnect on Booking setup stops the bot booking and removes tufu's access to your calendar. Bookings already made stay in it.
